The code of Good Practice for Undergraduate Programme

Good attitude and behaviour comes first .The student should show genuine respect to tutors, administration staff, workers and univeristy guards .He/she must abide by the rules and discpline directions issued by the faculty or univeristy .

The enrolled student is expected to dress in a respectable outfit ,shows respect and discipline.

 

The student must fulfil all the academic requirements to pass the year and graduate .He/she is expected to attend all learning activities.

The program  is expected to be completed within a maximum 10 years from enrolment.

Student Registration

Regulations of the registration

There are three cases as to the state of the student :

-Regular Student

-Repeated Student

-The External Student

The Regular Student

Students are responsible for registration, and they must complete the registration process personally in the campus within the first two weeks of announced date.

The student who misses the registration deadline must submit an appeal to the registrar office  stating the reasons bshind the delay. All the necessary certified documents must be attached. In the case that the petition is accepted, the student must complete the registration within the

first month of the start of the year.The missed activities will be counted and recorded as an a period of absence.

Late Registration 

When accepted for late registeration ,the period will be documented in the  attendance record as period of absence

Suspending Studies

The student can suspend studies for several reasons; academic reasons(suspend and retrieve),financial diffiuclties,health difficulties,fmily reasons maternity  .The administration is expecting to recieve the  supporting documents as to the cause for the action within the first two weeks after the deadline of registration .Later submission shall be automatically  rejected.

The applications to suspend the studies study are limited to two applications during  the whole faculty educational years.

The attendance of the Learning Activities 

Attendance verification and ratification

There are two officers assigned to  attendance recording and verification, assisted by the student’s organisers.

Either using a machine/thumbprint or signature of the students .

The Repeat Student (Rep)

The Repeat Student  shall  abide to the attendance and examinations rules

The External Student (Ext)

The external student is not requested to attend the regular activities, and is granted the persmission to sit the examinations.This occurs as per faculty board of study decision in year 1-4 .

He/she shall submit a request to sit the examinations in a period not exceeding two months from the deadline for registration.

During the course of study ,there are three chances of repeat ,two chances for external examintions,two chances to freeze the study. Two chances in normal sturcture ,patient care phases( 1-2,4-5 th year), and one in the third year. No external examination is permitted in the first year

Attendance and Absence Disciplines and penalties

Attendance at classes is compulsary and is recorded .Any student whose absent on five subsequent occasions or is regularly absent without good reason will be automatically reported to the academic supervisor/head of department.

The faculty has the right to withdraw the stduent from exams if they fail to meet the minumum requirement for class attendance and coursework submission.The minimum attendance should be 75% or more of the classes.

The student whose absence rate is exceeding  one  month without a reasonable/legitimate  excuse/reason,  will warned and a subject to further disciplinary actions which may include  exam barring and an award of  Score F.

The student who will be  absent for more than one third of the period allocated for the curriculum ,will be awarded Score  F   and a recommendation to  be dismmissed shall be written to the Board of Scientific affairs .

Student Assessment 

Is goverened and steered  by the Assessment  Directorate 

Headed by dr Ahamed Saeed, Vice chair dr Nidal Haroon, secretary dr Osman , executive secretary Ms Ishraga, Assistant Mrs Mwahib.Other memebers :Ms Amel  IT specialist, Ms Nahla , chemistry lecturer .In addition to the heads of departments .

The examination comittee  will be  assembled two weeks prior to the due date of the examination,and adjorned after issuing the result  .It is constitued by the above mentioned   five members ,in addition to the heads or representative of  departments.

The examination must be submitted two weeks before the entitled date to be revised as per   structure ,and to be conform with the blueprint that is aligned with the program and course learning objectives ,curricullar and the learning strategies.

The assessment of the student is mainly Summative

A Formative assessment  is introduced and efforts are exerted to include the practical and bed side procedures in an observed checklist. The portfolio is introduced to the fourth year as the start of 2021, Batch 21

The current and past assessment encompasses:

 Examinations

The list of students is  announced two weeks before the examination date .

Three  major landmarks:

Intermediate Examination(normal structure),held  at the End of the Second Year

Third Year Examination (Abnormal structure),held at the end of the third year

Final MBBS Examination   ,held at the end  of the Fifth Year

Examinations held at the end of  year one and  four  are stop examinations.

Examination Components

The total alloted marks are 100 marks.

Continous Assessment (CA)

20-30 marks are alloted to the in year 1,2,3.

10 marks for year 5, 20 marks for thesis and participation in forensic and community medicine.

The exmination encompasses a written component (best of five/four(BOF), short answer questions(SAQ)for the biology  and chemsitry .Spotter(photographed or video material) is expected to be introduced in 2022 exam.

Year 1-3 : for Anatomy ,physiology,  biochemistry, pathology, microbiology&pharmacology

The examination components are written component which is in the form of BOF,EMQ, SAQ and   parctical component in a form of spotter/OSPE.

Final MBBS examination

Total 100 marks which are distributed as follows:

Written Component 40 marks

Clinical Components  50 marks

Continuous Assessment(CA) 10 marks

The Written component  (testing cognitive /knowledge competencies)

Paper One (20 marks)

Is in the form of 80-100 Best Answer Questions (BAQ) ;best of five/four questions(BOF)

Norm-referenced (and Angoff method)is the method used to determine the Minimal Pass Level (MPL) mark.

Spotter or OSPE when possible 10-15 questions: Computer /Projected  photograf and videos (Awarded 5 marks)

Paper Two (15 marks)

Five -Ten Grey Cases are expected to be discussed in short answer format (SAQ) or extended Match Questions (EMQ)

The Minimum Pass level(MPL) mark for the written component is 50, 48 mark  is borderline for discussion.

Oral examinations are held for the borderline  and distinguished students in Anatomy, Biochemistry, Physiology, Pathology, Microbiology and Pharmacology till 2022 in the first round.It is cancelled by April 2022.

The  Clinical Component

In the fourth year for Internal Medicine and Paediatrics, and the graduation examinations for the four subjects.

Final Year/ Graduation Examination:

For Internal Medicine, Obstetrics, Surgery is in the form of OSCE/PACESheld at the Examination Centre at the faculty .

The Paediatrics Examination is carried at Albolk Hospital in form of one long, two short cases and four Oro-practical stations addressing some practical points in child health.

The Minimum Pass Level(MPL) is 50%, 48 is borderline for discussion , and must pass one of the two components:either the long case or the aggreate of the short cases in the paediatrics  Or 50% of the Clinical Stations and passing the aggregate.

The overall mark of 48 is borderline for discussion,which doesn’t necessary guarantee the pass.

Formative /Continuous Assessment (CA)

Represents 20-30% of the final mark

CA is constituted of :

End of the courses examinations, end of term/semester examination, thesis dissertation

 

 

Assignments in the first semester (Biology& chemistry),Basic and Paraclinical Examinations, At the end  of the courses of  dermatology, Psychiatry, ENT and ophthalmology; each is awarded 5 marks .

The Minimum Pass Level mark in continuous assessment (CA) is 30%

The Examination Regulations and Results :

Examination Barring

The faculty examination committee reserves the right to withdraw the undergraduate students form the exams in any case of  the following:

1-Proven to commit any serious violation,faud or misbehaviour

2.Proven cheating in the examination

3.Missing  to attend 75% of the classes

Medical Conditions before examinations and Sick Report 

-The medical conditions which are admitted to the hospital before the exam, the hospital shall issue a formal report stating the diagnosis, and medical report shall be presented to the registrar office before the date of the examination.

The Sick report must have a hospital and specialist stamp, signature with his/her clear name and contact phone number/email.

Medical Conditions during examinations

-The medical condition which takes place during the examination shall be examined by the medical unit of the university and the sick leave recommendation shall be issued by the Exmaintion medical committee before the end of the ongoing examination.

-All the medical reports which don’t meet the requirements shall be automatically  rejected. In this case, the student absence hours shall be regarded as an absence without excuse. The student will be awarded the score F and shall be  subjected to further penalty by the Faculty  Board of Studies.

 

The Process of the Examination and results

The marked papers shall be submitted to the examination office within maximally two weeks after the examination takes place.

It is the responsibility of the head department to submit the papers and results following a meeting held at departmental level.

There are assigned external examiners for the Intermediate, Third Year Examinations, Community and the Final Graduation Examinations. They are elected by the department and another examiner appointed by the Sudan Medical Council (SMC) to supervise the quality of the examinations .

The clinical examinations in PACES are held as one examiner per station, two examiners for the classical long/short as done in the Paediatrics.

The results will be compiled and reviewed by the examination committee

The examination committee meeting is usually scheduled within one week of submitting the results by the departments.

A faculty board meeting will be held to permit the result within two weeks.

Then the result will be announced on the university website.

One week is the time allotted for students to claim recount of the result mark after paying the assigned fees.

Thereafter the result will be finalized, and no amendment is allowed, and a copy will be kept in the dean office, assessment unit and registrar office.

The examination papers will be discarded six months later.

The Failed Student (F)

Is the student who fails to score less than the minimum mark requested to pass the exam(MPL) in one subject or or more but should be less than two thirds of the credit hours of the curricullar,failing in more than two thirds of the curricullar will cost the student to repeat the year .

 

The letter F is the award given to the failure .

Cases in which  the student will be awarded  the score F:

-Missing >25% of  the learning activities with legitimate/accepted excuse/reason, the student won’t be allowed to sit the examination.

-Scoring less than 30% in the Continuous Assesment (CA), the student won’t be allowed to proceed to the final examination .

-Scoring less than the overall  Minimal Pass Level (MPL) mark:generally 50 out of total 100

-Scoring less than the MPL in the written  exam(knoweldge Assessment) ,the student won’t be allowed to proceed to the clinical part .

-Scoring less than the MPL in the clinical exam (Psychomotor/attitude competencies), irrespective of the score in the written component in the Final MBBS exmination

-Who is convicted to cheat in the examination.

Substitute Examination (Sub),Incomplete (I)

The student who misses  the first-round examination at the end of the year due to a legitimate excuse/reason , will be awarded  I(incmplete) .He/she has the right to sit for a second-round examination  as a substitute examination .Will be awarded the score as deserved as a fresh attempt.

Supplementary Examination(Supp)

The supplementary examination is held Six weeks after the first round, in all the stop, intermediate and graduation examinations .

-The student has the right to sit for a supplementary examination if he/she fails to pass in one subject or more than one but less than two thirds of the credit hours of the curricullar

-The faculty offers No supplementary examination for the substitute examination.

 

 

– The student who misses the second-round examination  (substitute or supplementary) has the right to sit for a substitute examination  of the subject/s on the specific date/s of the first final exam in the next academic year.

-The student will be awarded C* irrespective of the mark obtained ,F when fails and will autmoatically repeat the year

The Repeat Student (Rep)

-The student who fails in more than two thirds of  the credit hours of the curricullar  .

-The student who  fails the supplementary (Supp)

-The student who score  less than 30% ,shall repeat the year and a recommendation letter is written to the board of Scientifc Affairs to dismiss him/her

-There are allowed two chances to repeat in year one to year four (1-4)

The External Student(Ext)

-The student who fails the repeat

-Accepted study suspension

There are two chances  in year 1-4, no external in year one or 5

 The Dismiss/discontinue Student (Dis)

-The student who fails to register two month after the start of the academic year

-The student who misses more than 30% of the classes

-The sudent who scores less than 30% in the whole examinations

The scoring system

The faculty adopt the letter scoring system.NO GPA or grades of hounour.But the distinuished student will be given a priaz and the word prrise will be added to scored A

The Outstanding Student:

The decsion is based on the total score of marks ,not by the letter grading .

-The student who obtains first place in the examination of the specific year ,shall be exempted from the  tuition fees of the next  year.

-The student who obtains second place in the examination of the specific year, shall be exempted from  half the tuition fees.
